How we work

Four steps, from the first call to a one-page report every month. At each one you know who does what, by which date, and what we need from you.

Most clients come to us after a penalty, or after a previous accountant stopped answering the phone. So this is written to be checked: every step has a date, a named person and something you receive.

Step 1: The first call

Leave your phone number or tax ID on the contact page, message us on Zalo, or book a slot. An accountant calls back within one working day (Monday to Friday, 08:30 to 17:30). Send it at 4 pm on a Friday and someone calls by 4 pm on Monday.

The call takes about 30 minutes and is free. We ask what the company does, roughly how much revenue it has, how many people, which returns have been filed and what is worrying you. We can do this in English. By the end you have a fixed price and the name of the person who will look after you.

You prepare: your tax ID and your latest return if you have one. If you have nothing yet, that is fine; we start from where you are.

Step 2: Contract and handover checklist

The contract sets out the scope, the price, the document limit, the on-time commitment and the handover terms if you leave. Once it is signed, your accountant sends a checklist, usually:

  • Login details for the e-tax account. It stays in the company’s name; we are authorised users.
  • An authorisation to use the company’s digital signature for filing. The signature stays yours.
  • Viewing access to your e-invoice software or cash register.
  • Bank statements since the start of the year (for bookkeeping clients).
  • Ledgers, returns and reports from your previous accountant, if any.

Within five working days your accountant reviews the old records and sends a short note: which periods were filed, which were missed, and which numbers do not match. If there are past mistakes, we say so plainly, with the fix and any cost, before doing anything.

You prepare: the items on the checklist. If something is missing, we ask rather than guess.

Step 3: Month-end close by the 10th

Every month follows the same rhythm:

  • By the 5th: you send photos of purchase invoices, expense receipts, bank statements and staff changes on Zalo. E-invoices we download ourselves.
  • 5th to 10th: we record, reconcile the bank, run payroll and calculate tax. The 10th is when last month is closed.
  • By the 20th (monthly filers) or the last day of the month after the quarter (quarterly filers): returns are filed. You get a Zalo reminder five days before.

Late documents still get recorded, but the close moves with them. We do not guess numbers to make a date.

You prepare: documents by the 5th, and a message when something unusual happens: a loan, a large purchase, a new hire.

Step 4: A one-page report on Zalo

After the close you receive one page on Zalo, readable in two minutes:

  • Revenue, costs and estimated profit for the month.
  • Tax due, where to pay it and by when.
  • Cash in the bank and what customers still owe.
  • Deadlines in the next 60 days.
  • Any documents still missing.

The report can be in English for VND 500,000 a month. Questions go straight to your accountant, and anything sent during working hours is answered the same day.

You prepare: nothing. Just read it.

If you decide to leave

Give us 30 days’ notice. Within five working days of the contract ending we hand over everything: ledgers, filed returns, financial statements, the e-tax password and the digital signature, with a signed list of each item. There is no handover fee, and we never hold records back for any reason, including a dispute over our own invoice.

This is in the contract because we have taken on clients whose previous firm kept their digital signature for three months. Nobody should have to ask for their own records.
